    There are three key differentiators that make ShareBase standout from other EFSS products: ShareBase empowers you to keep control of your important documents. Administrators create ShareBase accounts using employee corporate email addresses. If an employee leaves or is transferred, rights are revoked or transferred to someone else in the organization. This keeps your files safe and creates a higher level of professionalism for the organization by ensuring continuity. By interacting with OnBase, ShareBase automates sharing and notifications. When documents are uploaded into ShareBase, OnBase automatically captures them. Workflow triggers events automatically, saving you time and effort. ShareBase uses the Hyland Cloud. This allows you to choose which region your data is located and keeps your data from comingling with the data of other organizations. Each ShareBase customer has their own environment with their own database, files and encryption keys.
  • Can ShareBase become part of an OnBase workflow?
    Yes. Through business rules, workflow can automatically create a shared folder, generate a link and send a notification to a recipient to view, edit or upload.
  • Can I use ShareBase without OnBase?
    Absolutely! ShareBase is an ideal way to securely share important documents while ensuring the organization retains control. However, it should be understood that OnBase workflow has a natural interaction with ShareBase, extending your business processes. When working in ShareBase, OnBase automatically captures your documents, saving you time and effort.
  • Are there tiered storage models with different pricing?

  • Will I be able to know what country my data is stored in?
    Yes. With ShareBase, your data is kept in country. You will have the ability to select the region that best fits your needs.

  • Who would use ShareBase?
    ShareBase is designed for corporate use, not personal use. Administrators create approved accounts using corporate email addresses. Since users cannot use personal email addresses this ensures the organization keeps control of the shared information.
  • How does ShareBase change the way I share files?
    ShareBase allows you to share files and folders from their source locations and has the ability to store any type of file. Through the OnBase interaction, ShareBase automates sharing and notifications. When documents are uploaded into ShareBase, OnBase automatically captures them and workflow triggers events automatically, saving you time and effort.
  • Does ShareBase work on mobile devices?
    Yes. The ShareBase web app can be accessed through app.ShareBase.com. Mobile apps can be downloaded for Android from the Google Play Store and for iOS from the Apple App Store.
  • Does ShareBase work on web browsers?
    ShareBase works on all popular browsers, including Google Chrome, Microsoft Internet Explorer and Mozilla Firefox.
  • Can I sign into ShareBase with a personal email?
    No. Your administrator creates your account using your corporate email address. You then have to use that address to gain access to ShareBase. This ensures that the data ownership is retained at the corporate level allowing easy revocation of rights and the transfer of content to other users.
  • Can I share content with anyone or only users of ShareBase?
    We do not require recipients of shared documents to create an account to access the content. Sharing is accomplished through links emailed to recipients that can be password protected and set to expire.
  • What cloud service does ShareBase use?
    ShareBase is hosted in a purpose built cloud specifically designed for content management, utilizing data centers strategically positioned around the globe. This allows you to choose which region your data is located and keeps your data from comingling with the data of other organizations.
  • Is my shared content comingled with other organizations data?
    Your data will never be comingled with another organization’s data. Each ShareBase customer has their own environment with their own database, files and encryption keys.
  • What security measures are you taking?
    ShareBase provides users with their own unique encryption key(s), ensuring their data is separate and secure from other users’ information. A security breach for one customer would never affect another.
  • How much does ShareBase cost?
